Driver verification:
*You’ll need driver’s license, e-mail, and phone number to complete verification.
1. Find the client/reservation in Wheelbase.
2. Click “driver verification” tab.
3. Either invite driver (fill out accordingly) or add a driver (fill out accordingly).

Damage protection:
In order to activate damage protection (Wheelbase), you’ll need the renter’s first/last name, e-mail, phone number, birthdate, and address.
1. Find client/reservation in Wheebase.
2. Click “view profile” under renter’s name. 
3. Click “edit” on top right of screen.
4. Fill in requested information. Hit “save”.
5. Go back to the reservation. Hit “edit” on top right of screen.
6. Scroll down to “premium services”. Damage protection should be listed. Hit “save changes”. 
*Damage protection can not be added to same day reservations.
**Outdoorsy users will have to update their profile themselves. Send them a message asking them to complete their profile with the above information.

Send receipt/invoice:
1. Find the client/reservation in Wheelbase.
2. Hit “send receipt” on top right of screen.

Adding a card on file:
*Outdoorsy users will have to do this through their Outdoorsy profile.
1. Find the client/reservation in Wheelbase.
2. Click “view profile” on right side of screen.
3. Go to “payment method” tab.
4. Add card info. Delete the other cards if necessary. Make new card the preferred card.

Checking payment/transactions:
1. Find the client/reservation in Wheelbase.
2. Go to “transactions” tab.
3. Use information provided (date, card info, or amount).

Make a payment:
1. Find the client/reservation in Wheelbase.
2. Click “make a payment” on top right of screen.
3. Confirm card number with client by clicking the card drop down.
4. Enter in the payment amount. 

Looking up vehicle specifications:
1. Open up the unit in Wheelbase using the vehicle tab.
2. Go to “details” tab. Search for information requested.
3. If information isn’t provided on the details tab, google the year/make/model/floor plan to see if you can find information there.

“All-good” or “good to go” reservations:
A renter needs a few things in order to have their reservation fully completed.
1. Contract in (this is the check out questions on the right side of their Wheelbase reservation page)
2. E-signature (green on the right side of Wheelbase reservation page)
3. Active insurance/verified driver (green in Wheelbase reservation page) 

Adding Roadside Assistance:
1. Find the client/reservation in Wheelbase.
2. Click “edit” in the upper right hand corner.
3. Scroll down to “premium services”.
4. Select “Roadside Assistance” under the “add an available service”.
5. Hit save.
6. Charge the card on file.
*If Roadside Assistance doesn’t show up in the drop down, edit the client information to include the same information as damage protection. 

Creating a quote step by step in RVshare

  1. Open client conversation from inbox.
  2. Familiarize yourself with previous conversation.
  3. Check camper availability in Wheelbase.
  4. If available, click “create quote”. Go to step 10.
  5. If not available, check company website for other options.
  6. Open another RVshare tab. Open listings tab.
  7. Search (ctrl + F) for other options found on company website.
  8. Right click on “view listing” and hit copy.
  9. Paste this link on client conversation. Explain that the original vehicle is unavailable and offer this one.
  10. RVshare pulls the dates/vehicle from the original inquiry. Confirm that these are correct from client conversation.
  11. Confirm maintenance/prep fee is added. Confirm insurance fee and security deposit is added.  These should be automated. 
  12. Add delivery fee if that applies (this information can be found on the branch rules document).
  13. Double check accuracy.
  14. Click “send quote”.

Once a booking comes in through RVshare, it needs to be inputted into Wheelbase to update the company calendar. Here’s a video of how to do this.

  1. Open the vehicle in Wheelbase.
  2. Click “new quote” in the upper right corner.
  3. Input the coordinating RVshare dates.
  4. Reject the insurance (double check that this is charged in RVshare).
  5. Type in “RVshare” under “How did the renter contact us?”
  6. “Create a new customer” by using the provided details in RVshare.
  7. Double check dates. Add a delivery fee if applicable. Confirm insurance has been rejected. Add any other add-ons with the fee (linens, prep fee, etc).
  8. Remove roadside (the renter can utilize RVshare roadside assistance if needed). Make sure damage protection is charged in RVshare ($75). This will look different in Wheelbase ($69) to account for the platform fee. 
  9. Change the security deposit to $0 (double check that this is charged in RVshare).
  10. Hit “save changes”.
  11. Review the quote. Make sure all add-ons are added with the fee.
  12. “Complete reservation” by using the “other payment methods”. Type in “RVshare” under “external payment”. Reserve.
  13. Go back to the RVshare messaging forum. Send the renter this link.
